This policy explains how Clean Room, a service operated by Ovk Consulting (Lyngbyvej 438, 2820 Gentofte, Denmark; CVR 38284282; pilot@cleanroomhq.com), handles personal data. Ovk Consulting is the data controller for the information described here.

What we collect

Where it goes

All service infrastructure runs on Microsoft Azure within the European Union: the application and uploaded files in West Europe, and AI analysis via Azure OpenAI in the EU data zone. Microsoft Azure is our sole processor. We do not sell data, do not use it for advertising, and never use your documents to train any AI model. Documents are not retained by the AI provider beyond Microsoft's standard abuse-monitoring window.

How long we keep it

Pilot enquiries: up to 12 months, then deleted. Demo documents: only for the life of the room you create — when you destroy a room, its files are deleted immediately and cannot be recovered through the service. Audit logs live with the room and are removed when it is destroyed.

During the pilot preview, please upload only synthetic or dummy documents — no real personal or client-confidential data — until a data processing agreement is in place.

Your rights

Under the GDPR you may request access to, correction of, or deletion of your personal data, and may object to processing. Contact pilot@cleanroomhq.com. You may also complain to the Danish Data Protection Agency (Datatilsynet).

Hvor det opbevares

Al infrastruktur kører på Microsoft Azure inden for EU: programmet og uploadede filer i Vesteuropa, og AI-analyse via Azure OpenAI i EU-datazonen. Microsoft Azure er vores eneste databehandler. Vi sælger ikke data, bruger det ikke til reklame, og bruger aldrig jeres dokumenter til at træne nogen AI-model. Dokumenter opbevares ikke hos AI-udbyderen ud over Microsofts standardvindue for misbrugsovervågning.

Hvor længe vi opbevarer det

Pilot-henvendelser: op til 12 måneder, derefter slettet. Demodokumenter: kun så længe det rum, du opretter, eksisterer — når du destruerer et rum, slettes filerne øjeblikkeligt og kan ikke genskabes i tjenesten. Revisionsspor følger rummet og fjernes, når det destrueres.

I pilotfasen bedes du kun uploade syntetiske dokumenter eller testdata — ingen rigtige person- eller kundefortrolige oplysninger — indtil en databehandleraftale er på plads.

Dine rettigheder

Efter GDPR kan du anmode om indsigt i, rettelse eller sletning af dine personoplysninger og gøre indsigelse mod behandlingen. Kontakt pilot@cleanroomhq.com. Du kan også klage til Datatilsynet.
